Business Networking Group Privacy Policy & Terms of Participation

1. Purpose

This Privacy Policy explains how Canadian Association of Self Employed Persons (“the Group,” “we,” or “our”) collects, uses, and protects the personal information of individuals participating in our online networking community (“members,” “you,” or “your”).

Our goal is to support professional networking and business growth while respecting your right to privacy and protecting your information under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation (in Alberta, British Columbia, and Quebec).

 

2. Scope

This policy applies to:

  • Our online platforms (e.g., website, private LinkedIn or Facebook group, or email list);
     

  • Information submitted through forms, discussions, direct messages, or event registrations; and
     

  • Any communications or resources provided by the Group to facilitate networking or business connections.
     

 

3. Personal Information We Collect

We collect only the information needed to operate and improve the networking group. This may include:

  • Contact Details: Name, email address, business name, phone number, or website;
     

  • Professional Information: Industry, role, and products or services offered;
     

  • Engagement Data: Posts, comments, participation in discussions or events;
     

  • Optional Details: Profile photo, LinkedIn URL, or other professional links shared voluntarily.
     

We do not collect sensitive information (e.g., financial, health, or government ID data).

 

4. How We Use Your Information

We use your information to:

  • Facilitate professional introductions and networking opportunities,
     

  • Share group announcements, invitations, and updates,
     

  • Manage events, workshops, and online discussions,
     

  • Maintain community standards and ensure respectful engagement, and
     

  • Respond to questions or feedback from members.
     

We will never sell or trade your personal information to third parties.

We may occasionally share general (non-identifiable) statistics about group engagement for planning or reporting purposes.

 

5. Consent

By joining and participating in the Group, you consent to the collection and use of your personal information for the purposes described above.
You may withdraw consent at any time by leaving the group or contacting the Group Administrator (see Section 12).

 

6. Sharing and Disclosure

Your information may be disclosed only:

  • To group administrators and moderators for operational purposes;
     

  • To service providers (such as email newsletter tools or event platforms) that comply with equivalent privacy protections;
     

  • When required by law, regulation, or legal process.
     

Other members may see your shared content (posts, comments, or profile information) as part of normal group participation. Always use discretion when posting information publicly.

 

7. Data Storage and Security

We take reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, or unauthorized access.

If the Group operates on a third-party platform (e.g., Facebook, LinkedIn, or Meetup), your information is also governed by that platform’s own privacy policy and security practices.

We cannot control — and are not responsible for — how those platforms handle user data.

 

8. Professional Conduct and Confidentiality

Members are expected to:

  • Respect the confidentiality of other members’ shared information,
     

  • Refrain from distributing or reproducing posts, messages, or contact details without consent,
     

  • Avoid spam, solicitation, or inappropriate commercial messaging, and
     

  • Maintain professional and courteous communication at all times.
     

The Group reserves the right to remove members or content that violate these standards or applicable laws.

 

9. Limitation of Liability

Participation in the Group is voluntary and at your own risk.
The Group, its administrators, and moderators are not liable for:

  • The accuracy or reliability of content shared by members,
     

  • Any business transactions or relationships formed between members,
     

  • Any loss, damage, or dispute arising from communications or engagements within the Group, or
     

  • Unauthorized use or disclosure of information by other members.
     

The Group provides an online space for professional networking and does not endorse or verify any products, services, or claims made by members.

 

10. Retention and Access

We retain personal information only for as long as needed to manage membership and networking activities.

You have the right to:

  • Request access to your personal information,
     

  • Request correction of inaccurate information, and
     

  • Request deletion of your information (subject to legal or operational limits).

11. Withdrawal of Consent

You may withdraw your consent to the collection and use of your personal information at any time by:

  • Leaving the online group, or
     

  • Contacting the Group Administrator to request removal.
